The following is a presentation of the accomplishments of my first year at AOE leading the DMAT team.

  • Created a road map for the future with EdFi

"Master" List Processes

Used to match person information to a unique identifier

Inherited the Student process

Took over Staff process after someone retired.

Staff Master Process

  • Was: Highly manual M$ Access process run once a week
  • Now: Fully automated, runs everyday.

Saves educators and AOE staff time.

Ready for the future.

Student Master Process

  • Was: Click heavy, manual, M$ Access process, no parallelism, inconsistant
  • Now: Jupyter Voila UI automating and making the process more consistant.

Eliminated hours of manual matching for the Indy Census

Standardized on using EdFusion for most external matching requests were possible.

Jupyter Hub

  • Was: Jupyter was installed on everyones machine individually
  • Now: Users can connect to Hub which is located/updated centrally

Jupyter is sitting next to DB machine, faster access, less bandwidth wasted

Instant upgrade to those with older machines, scalable to fit our needs.

ADM

  • Was: Manual M$ Access and Oracle Process that took 30 minutes a day
  • Now: Fully automated, Jupyter Only, runs on a schedule without human intervention.

Created Jupyter Voila UI to aid in supporting ADM questions

Removed DMAD's Oracle dependency

Organizations & Contacts

  • Was: Clumsy manual Oracle process managed by Glenn Bouchard
  • Now: Manged in Sharepoint, available to everyone.

This year we have a Form for Super's to confirm infromation and submit changes.

Also in Cognito Forms, hopeful saving future problems.

Knowledge Base

  • Was: Information was spread out among several pages, excel files, and newsletters.
  • Now: One information hub that is searchable, accessible, and easy to maintain.

EdFi Roadmap

2021 - SY2022

  • Stand up test API & Ask vendors to implement
  • Provide initial Data Governance document and request feedback

2022 - SY2023

  • Initial pilot with those willing, 17 signed up so far of 52
  • Provides student and staff permnumber matching automatically

2023 - SY2024

  • Announce EdFi required if pilot successful
  • Begin Work on other processes like IDEA/SPED, Direct Cert and Foster Care status being passed through EdFi via monthly batch

2024 - SY2025

  • EdFi submissions required SY25 and forward
  • Pilot other processes
  • Pilot IDEA/SPED data via EdFi

2025 - SY2026

  • Announce other data required via EdFi if pilot successful
  • 2nd year of EdFi data

2026 - SY2027

  • IDEA/SPED data submitted through EdFi
  • Staff has time and tools to perform predictive modeling and create actionable dashboards and tools for LEA's admin and educational staff.

2027 - SY2028

  • ? Pilot EdFi for finance?
